How do I archive a team member?

Platinum Feature: Archiving is only available with a paid Business Platinum team subscription.

The User Archiving feature allows you to preserve historical, shared business activity when team members leave your Cloze team. It does not back up all contacts or timeline activity but it will archive shared contacts and shared timeline activity. This is especially useful for teams that have been collaborating and need to smoothly transition relationships to another team member. 

  • Preserve shared business activity history when users leave your team or disconnect their accounts.
  • Protect against malicious removal of business activity history.
  • Retain business activity of guests involved in specific deals.
  • Easily manage which history to retain and which you no longer need.
  • See all shared activity for any team member in one view.
  • Available with team billing. Extra charges may apply.

When you select the Archive and Eject option, the team member is removed from the team and they are able to sign up on their own and subscribe. If you select Archive and Delete, this deletes the entire user account, only archiving shared notes and other things shared with the team (this does not include communication).

Team Members with the Admin Role can archive other Team Members.

Tips:

  • Please be overly cautious when removing team members. 
  • We highly recommend selecting one team member at a time for removal. 
  • Team billing: Note that if this person is subscribed through Team Billing, removing a Team Member also removes their Cloze Business subscription. 
  • Archiving: If you have a Business Platinum subscription or above, shared business activity is archived automatically. 

1.) Tap on the More Options menu (...) and select Team Members

  1. Tap on More (lower left on your computer on cloze.com or lower right on mobile). 
  2. Select Team Members

2.) Tap on the checkmark next to the person you wish to remove from the team. 

  1. Tap on the checkmark next to the person you wish to remove.
  2. Tap on the large Bulk Actions checkmark.
  3. Select Team Membership

3.) GOLD and SILVER PLANS: Remove the team member.

For Silver and Gold Plans, the archive and delete options are grayed out and not available. Please see below for Platinum plan options.

Select Remove User From Team [SILVER AND GOLD PLANS]. This will remove the user(s) from your team and billing. If they wish to do so the team member can re-subscribe on their own. 

3.) PLATINUM PLANS:
Archive the team member (or Delete the account and destroy user's data).

In the Team Membership section, you will see two options. Both options will archive the user. 

  1. Remove User From Team - Archiving is only available with a paid Business Platinum team subscription. Please see below for more details about the archiving feature. 
    • Select this option to remove the user from the team and archive any shared contacts and timeline activity.
    • The user will be removed from team billing. 
    • Shared business activity is archived automatically. 
    • Cloze accounts without a subscription (on the free plan) that have no use for 30 consecutive days are purged automatically. 
    • The user can re-subscribe on their own if they wish to do so. 
  2. Delete Account and Destroy User's Data - Deleting other users' accounts is only available with a paid Business Platinum team subscription. 
    • We highly recommend selecting "Remove User From Team" instead and letting the user decide if they wish to delete their account.
    • Deleted accounts cannot be recovered. 
    • Shared business activity is archived automatically. 
    • Cloze accounts without a subscription (on the free plan) that have no use for 30 consecutive days are purged automatically. 

In general, we recommend selecting Remove User From TeamIf they wish to do so the team member can re-subscribe on their own.
