How do I export an EML file?

To set up lead capture in Cloze, you’ll need examples of lead notification emails. These emails contain key details—like name, email, and phone number—that Cloze can automatically extract and organize.

Please follow the instructions below to download examples of the lead emails you wish to capture in a format called EML. 

Important: A single lead source can send different email formats, so it’s important to download multiple examples. Some may be missing fields like phone number or include data you want to map to custom fields—testing with a variety ensures complete and accurate lead capture.

What is an EML file?

EML stands for “Electronic Mail” and is a file format used to save a complete copy of an email—including the sender, recipients, subject, message, formatting, attachments, and send date. It’s commonly used to store important emails or move them between email programs.

In Cloze, we use EML files to test and set up lead capture, making it easy to extract and organize information from real lead emails.


Gmail: How to download a message from Gmail

  1. Open your Gmail account in a web browser.
  2. Locate the email message you want to download. Tip: Searching for leads by name can be helpful in locating several examples.
  3. Open the email by clicking on it to view its content.

  1. Download Original Message: Click the three-dots menu (More options) at the top-right corner of the email 
  2. Select "Download Message".

The email will be downloaded as a .eml file. Please note the location of the downloaded message as you will use it when creating a lead capture. 

Microsoft 365: How to download a message from Outlook web

  1. Open your Microsoft 365 account in a web browser and select the Outlook app.
  2. Locate the email message you want to download. Tip: Searching for leads by name can be helpful in locating several examples.
  3. Open the email by clicking on it to view its content.
  4. Click on the ellipsis (three dots) located in the upper-right corner of the email message.
  5. In the dropdown menu, select "Save".

The email will be downloaded as a .eml file. Please note the location of the downloaded message as you will use it when creating a lead capture.

Most email programs support saving or exporting individual emails—you’re usually looking for an option like “Save As,” “Download,” or “Export message.”
