FAQ: Cloze Call and Text Sync App for iOS

The call and text sync app will sync over Wi-Fi but for the best experience, we do recommend plugging your phone into your computer once a week. Anytime there is an Apple iOS update, Apple requires you to plug in your device and trust the computer.

How does the app work?

The app creates an encrypted iPhone backup on your computer and then syncs with this backup to automatically log your phone calls and text messages.

What are the requirements for installing the Cloze Call & Text Sync App?

The call & text sync app will require:

  • Sufficient space on your computer to backup your call logs and text messages
  • The encrypted backup password for your iPhone if you have created one previously.  If you have not created one, you will need to create one to sync your calls & texts.  For more information on encrypted backups, Please view this article from Apple:  https://support.apple.com/en-us/HT205220

What types of phone calls does it support?

The app supports phone calls with any phone carrier worldwide, VoIP service, and even calls done with apps such as WhatsApp. As long as the call shows up in your iPhone's built-in Phone App's call history, it will be synced to Cloze.
  • Phone calls made with your iPhone
    • Carrier calls like AT&T, Verizon, T-Mobile, Sprint, Xfinity,  Vodafone, Orange, etc...  
    • VOIP calls made with your iPhone with services like Vonage, 8x8, RingCentral, etc...
    • FaceTime
    • WhatsApp 

What types of messages does it support?

The app supports SMS, iMessage, and WhatsApp messages - both one-to-one and group chats. The app will not sync photos or attachments you exchange.

What subscription plan do I need?

Phone call syncing is available on all paid plans and free trials. Message syncing is only available with the Cloze Business Gold and Business Platinum plans.

What about privacy?

Your call history and messages are private to you. No one else can see any of your calls or messages unless you choose to share them. These are your calls and messages, and you're in control - you can delete them at any time.
  • Redaction mode is enabled by default for all phone services. With this mode enabled, even if you elect to share your timeline activity, text message content is not readable by other members of your team. 
  • You can choose to not store text message content from friends and family
  • Your contacts and communication are not accessible by your company in any way (ever - even if you leave).
  • Your information is encrypted so even Cloze employees can’t see it. 
    • This is why our support team will often ask for screenshots when answering questions.
  • Cloze will never give anyone else access to your information.

Do I need a new phone number to use it?

No. Cloze is the only CRM that works with your existing phone and apps to log all incoming and outgoing calls and messages without needing a new phone number or paying extra per call or message.
 

Where can I find my calls and messages?

Cloze will automatically log the calls and messages in the timeline of the people involved. When you go to a contact's profile, you'll see your entire history with them - all emails, calls, messages, and more in one place - with no data entry.
 

How many calls does the app sync?

Your iPhone typically stores only your last 500 calls. The first time you sync the app will log all of the available calls in Cloze. Going forward all new calls will be synced to Cloze and logged automatically - you're not limited to a history of only 500 calls and if you switch devices you don't lose your call history.
 

How many messages does the app sync?

The app will sync your entire history of available messages, as far back in time as are available on your phone. Going forward all new messages will be synced to Cloze and logged. Even if you lose your device or can't restore from backup you won't lose your messages.
 

How do I get syncing over Wi-Fi working?

To sync, your iPhone must be on the same Wi-Fi network as your computer.

As a first step, we recommend checking to make sure both your computer and iPhone are on the same Wi-Fi network by running the Wi-Fi diagnostics tool that is built into the Cloze Call and Text Sync app.

How do I get syncing over USB working?

Read our installation guide for  MacOS or  Windows to get syncing working over a lightning (USB) cable.

We do recommend plugging your phone in to your computer once a week. Anytime there is an Apple iOS update, Apple requires you to plug in your device and trust the computer.  

I texted someone yesterday, but I don’t see the messages in Cloze, why?

  • Double-check that the phone number you were texting is included in the person's contact profile in Cloze. Here are step-by-step instructions on how to add information to a contact.
  • Please make sure there has been a recent sync. The most common reasons for a sync not to occur is that the battery on your phone was below 30% or your phone and computer (with the app) were not on the same Wi-Fi network.

A few phone calls are showing on my timeline twice, why?

  • There will be some overlap in call history between your mobile phone carrier and the Call and Text Sync app.
  • Once you have successfully connected the Cloze Call and Text sync app, you can disconnect your connection to your phone carrier (Verizon, AT&T, T-Mobile, Sprint) to avoid duplicates
  • Please read our tips below before removing your phone carrier connection.

When I disconnect my phone carrier what option should I choose?

When you disconnect, you have two options:

  1. Remove and Cleanup
  2. Remove and Keep History [PICK THIS ONE]

We recommend keeping phone the history from your mobile phone carrier.

  • The Call and Text sync app will only sync the last 500 calls from your device, so if having the full phone history is important, we recommend the “Remove and Keep History” option.
  • This will result in some duplicates showing in your near-term timeline, but going forward you will not see any duplicates

How do I open the Cloze Call and Text Sync app settings?

If the icon is not showing in the toolbar, click on the up arrow and then the Cloze logo.


How do I manually start a sync of calls and text messages to Cloze?


Click on the Cloze icon in the menu bar and select Sync Now.


You can also do this by opening the app and clicking the “Sync Now” button.


Does a text message count as an interaction for keep-in-touch reminders?


Yes, text messages will update the Last Interaction date for a person and reset the keep-in-touch reminder cycle for the contact. 


How do I change how often Cloze syncs? 

You choose how often the app syncs with your phone - from every hour to every 12 hours, as long as your phone and your computer are on the same network. You can change the frequency of the sync by opening the app and clicking on the linked text.

Note: Backing up your device is resource intensive. Frequent backups may significantly impact your phone's battery life. 

How do I change the required battery percentage left?

You can change the battery power that is required by opening the app and clicking on the linked text.
