How do I transcribe an in-person meeting with Cloze?
Note: Maia is available in beta to customers on the Cloze Platinum plan and above. You may run into occasional bugs, errors, or unexpected behavior. AI can get things wrong; always double-check important information.

Before you start
- Use iOS 26 Public Beta or later and make sure the Maia Beta is enabled.
- From your Agenda, open the meeting and tap Notes (this helps file everything to the right people/property automatically).
Record the meeting
- In the meeting’s Notes, tap the microphone to start recording.
- You can Pause and Resume anytime; tap Stop when you’re done.
- As you talk, the text appears on screen. In the final transcript, it’s cleaned up (fewer “um/uh,” clearer sentences).
You’ll see the conversation broken into Speaker 1, Speaker 2, etc.
Short interruptions can sometimes create extra “speakers”—you’ll be able to fix that when you are done with the meeting.
Tip: Say important points out loud (e.g., “Next steps are…”) so they’re easy to find in the notes.
1.) Create a note or tap on the note icon from your meeting in Cloze.
From the Agenda
- Swipe right to add a note.
- Tap on the microphone icon to transcribe the meeting.
- Confirm permission, and Cloze will start transcribing.

In the meeting details screen
- Tap on the note icon.
- Tap on the microphone icon to transcribe the meeting.
- Confirm permission, and Cloze will start transcribing.

From a new note
- Tap on the + icon from the Agenda or the compose icon in the upper right.
- Select Create Note.
- Search and add people. Adding people links the transcribed meeting to them in Cloze.
- Tap on the microphone icon to transcribe the meeting.
- Confirm permission, and Cloze will start transcribing.

2.) Transcription will begin
Place your phone on a table and conduct your meeting. The transcription will separate each voice as you converse. You can Pause and Resume anytime; tap Stop when you’re done.
- Pause - Tap on the pause icon to pause as needed.
- Reume - Tap on the play button resume the transciption.
- Stop - Tap on the stop icon to end the transcription.
- Confrim Stop - Confirm you wish to stop the transcription.

When you are done
Name who was speaking
Confirm attendees: uncheck anyone who didn’t attend and add anyone who did
The app will show each detected speaker. Choose the person who spoke.
- If you’re not sure, leave it as “I’m Not Sure”—don’t guess.
- This step helps combine any duplicates (when one person showed up as “Speaker 1” and “Speaker 3”) and improves accuracy next time.

2.) Confirm speakers
- Tap on the checkmark next to anyone who did not attend the meeting.
- Search and add others that attended the meeting (that were not included in the original meeting invite).
- Tap on the Next button to continue.

3.) Review the transcript and set the speaker
Follow the steps to identify who was speaking. It is common to see "extra" speakers — assign them as you can, but it is OK if you are not sure.
- Set the first speaker - Review the transcript text and then tap on the menu to set the speaker.
- Select the speaker - From the menu tap on the person who was speaking for this portion of the transcript.
- Tap on the Next button - To continue to the next speaker.
- Set the next speaker - Review the transcript text and then tap on the menu to set the speaker.
- Tap on the Next button - To continue to the next speaker and finish identifying all speakers.

Finish and create minutes
- Create Minutes to get an instant summary, key takeaways, and action items.
- Use the built-in options, or select one of your brokerage's custom meeting templates (e.g., Listing Appointment, Buyer Interview). Pick the one that fits your meeting.
- Save everything to the timelines as a note.
You’ll get:
- A short summary (goal, decisions, timing)
- Key points (price range, neighborhoods, objections, prep items)
- Action items (who’s doing what, by when)
To finish up, select a meeting type and then save your transcript. Once saved, you can then talk to Maia to review your action items, assign tasks, or create a recap email draft.
- Tap on the menu to select a meeting type.
- Select one of the meeting options (e.g. Listing Presentation, Buyer Consultation, Real Estate Review, etc.
- Tap on the Save button

Optional: Voice Profiles are saved so Cloze can recognize the speaker the next time you transcribe a meeting.
