Tips for working with Maia
Note: Maia is available in beta to customers on the Cloze Platinum plan and above. You may run into occasional bugs, errors, or unexpected behavior. AI can get things wrong; always double-check important information.

Voice Tips
- Speak clearly at a steady pace: Short, complete sentences work best.
- Speak naturally: “Find David Lightman and set a reminder for Friday at 10am.”
- Say names/addresses early: Spell tricky names if needed.
- Lead with the who/what: “For 123 Main Street, create a Canva flyer…”
- State dates/times clearly: Use “next Tuesday at 3pm” or “tomorrow at 10am”
- Call out key moments in transcriptions: Say “Next steps are…” or “Decision is…” so they’re easy to find later.
- Pause between requests: Let Maia finish before giving the next instruction.
- If it mishears, keep it simple: Repeat or rephrase the ask in one short line.
- Reduce background noise: A quiet room or car is best for speaking with Maia.
Patience & Try-Again
- Shorten the ask: If it misfires, cut to essentials: “Set a reminder for Gina Harris: Friday 10am.”
- Break into steps: “Add note.” (let the task finish) Then: “Now set a reminder.” Then: “Now draft email.”
- Name the thing: Say “contact,” “listing,” or “project” so Maia knows what you mean.
- Change the angle: Try a different clue: tag, company, address, or timeframe.
- Confirm context: “Use the Oceanview Estates project we just discussed.”
Be Specific (little details = better results)
- Use full names, emails/phones, addresses, price ranges, stages/segments/tags, and due dates.
- Prefer one clear ask per sentence; chain steps in order: “Add note → set reminder → draft email.”
- Mention the property or person every time to avoid ambiguity.
How to ask Maia
Tip: One short sentence works best.
See recent history with a person (look up their timeline)
Say:
- “Show the timeline for Maria Gonzalez from the last 30 days.”
- “Before my call, show the last 10 items on Mark and Lisa Chu’s timeline.”
Add a quick note after a call or meeting (add a note)
Say:
- “Add a note to Sarah Thompson: ‘Waiting on lender pre-approval; wants Brookline/Newton.’”
- “Add a note to Brian Singh: ‘Liked 124 Oak St; concerned about street noise.’”
Set a follow-up reminder tied to a person (add a todo)
Say:
- “Add a to-do for Harry Ellis: ‘Send comps.’ Due Friday at 10:00 AM.”
- “Remind me to call Hazel Davis next Tuesday at 3:00 PM about financing.”
Always include a date and time so it lands when you expect.
Draft an email (saved to Cloze Drafts)
Say:
- “Draft an email to Kevin Lee: Thank him for touring 456 Maple; I’ll send disclosures tomorrow and next steps.”
- “Draft an email to Liz Jennings: Campaign launched; early engagement looks strong; next update Monday.”
Note: Skip greetings/sign-offs—Cloze adds those automatically.
Add a brand-new contact
Say:
- “Add Hannah Reed. Email hannah@example.com Phone 617-555-0123. Tag referral.”
- “Add James Miller. Phone 555-123-7890. Add a note, looking in East Boston.”
Find people in your database (find a person or group of people)
Say:
- “Find Jared Kim.”
- “Show contacts tagged ‘2023 Sellers’.”
- “Who do I know at Apple?”
Count people before a bulk change (person_count → person_change)
Step 1 — Count:
- “How many contacts are tagged ‘newsletter’?”
- “How many people are subscribed to my Just Listed Alerts?”
Step 2 — Change (after you confirm):
- “Add the tag ‘2025-holiday-card’ to everyone who receives my Just Listed alerts.”
- “Tag Jennifer Davis as hot-lead.” (single person)
Look up deals/listings
Say:
- “Find the listing for 5 Tall Cedar Road.”
- “Show my listings in Escrow.”
- “Show projects tagged ‘Q3 Priority’.”
Create a new listing/deal
Say:
“Create a new listing: 124 Oak St, Westwood. Price $1.25M. Seller Brian Singh.”
“Create a buyer transaction for Tina Huang: San Francisco under $1.5M.”
Update an existing listing/deal
Say:
- “Change status of 124 Oak St to Under Contract.”
- “Update price on 77 Beacon St to $1.48M.”
- “Add tag ‘Top Client Program’ to Oceanview Estates.”
Create marketing in Canva (you’ll finish in Canva)
Say:
- “Create a Canva flyer for 123 Main Street—highlight the chef’s kitchen and backyard.”
- “Create Instagram posts in Canva for the Downtown Loft listing.”
Start work in other apps
- Cloud CMA: “Send 124 Oak St to Cloud CMA.”
- HomeSpotter Boost: Boost 456 Oak Ave on HomeSpotter for the weekend.”
Personalize using your bio
Say:
- “Draft an intro email to Laura Chen—use my Cloze bio to make it personal.”
- “Draft an email to Holly McClane thanking her for her time and include a short bio about me.”
Chain steps in one ask
Say:
- “For Holly McClane, add a note: ‘Relocating from NY; 3-bed $900K–$1.1M; early fall.’ Set a reminder Friday 10 AM, then draft a thank-you email recapping needs and next steps.”
- “For 18 Berkshire Rd, create Instagram posts in Canva, send to HomeSpotter, add a note that the campaign launched today, then draft a seller update for Dayanara Myers.”
