Things to Know

Agent Team Ongoing collaboration with multiple users Contacts, Projects, Deals, Timeline activity Assign responsibility for Clients, Leads, and more Great for real estate teams and shared client management
Deal (Project) Team Time-bound, project-specific collaboration Project-specific contact info and timeline activity linked to shared contact details (e.g., work email/phone) Limited to project participants; only shares data tied to shared contact info Contact info and interactions (emails & calls) are shared only if they match the info added to the deal; ideal for short-term, focused teamwork
Inner Circle Small, trusted teams All timeline activity for overlapping contacts is being shared Automatically shares if both users have overlapping contacts (same email or phone number) All interactions (emails, calls) are shared; no sharing of tags of contact records. Works across all stages and segments
Delegate Access Admins, assistants, or marketing support Full account access, as authorized by the user You control what they can see/do (e.g., hide comms, limit audience) No password sharing; delegates can’t change login or security settings

1.) Agent Team

When you create a team in Cloze, you are able to share contacts and activity with team members. With one shared view of communication and activity for each contact, you will be able to track who is responsible for each contact, track next steps and to-dos, and always know who last spoke with a contact. You can control what is shared with your team and what remains private.

When you are a part of a team, the easiest way to share a contact is to assign it. Assigning keeps the contact in sync; any changes you make are updated for the team. Learn how you can share activity once a contact is assigned to you.

2.) Deal (Project) Team

When you create a Property, Project, or Deal, you can include your coworkers as part of the Deal Team. Any interactions with contacts included as part of the Property, Project, or Deal will be shared with the Deal Team. Sharing is for the duration of the deal; timing can be adjusted.

3.) Inner Circle

Inner Circle is best for a small, trusted team who want to share all timeline activity without assigning contacts. It automatically shares emails, calls, texts, and notes for any contact you both have (based on shared email or phone), while keeping contact records and tags private. Inner Circle works across all stages and segments and is great for tightly aligned collaboration. Members of your Inner Circle will be able to see your timeline activity with your contacts and you'll see their contacts' timelines too. For larger teams or more control, use Teams and contact assignment instead.

4.) Delegate Access

Delegation in Cloze allows you to give another Cloze user access to your account so they can work on your behalf—like sending emails or managing follow-ups. It’s commonly used by assistants or marketing team members and eliminates the need to share your password. You stay in control by deciding exactly what the delegate can see and do, including the option to hide communications and notes. Delegates can switch into your account from their own but can’t change sensitive settings like your password or delete your account. This makes it a secure and flexible way to get help while protecting your privacy.
